Seeking an executive assistant to work closely with serial entrepreneur in our SOMA offices. Someone who can be fully trusted with managing our CEO’s calendar, email, phone, contacts, as well as coordinating aspects of both his professional and personal life. A good person for this role would be calm under pressure as well as commanding when necessary.
We need you to be attentive and available at any given time to relieve our CEO of administrative work, so he can focus on the responsibilities that come with leading our company. Together with the rest of the Dispatchr Team we hope to bring about unprecedented growth both for our company and clients. Candidate should be comfortable speaking succinctly, and have a firm grasp of logic and the art of the argument.
You will be responsible for:
Time Management: Maintaining the social / professional calendar and day to day agenda for the CEO.
Travel Support: arranging company travel (airfare, hotels, rental car, additional/special travel accommodations eg. pet boarding & care)
Office Management: ordering supplies, shipping/receiving packages, document management, welcoming clients in a pleasant and friendly manner, taking/fielding phone calls, maintaining the office (coordinating repairs, cleaning services, utilities, working with property manager, etc.)
Administrative Support: Document preparation/gathering, meeting scheduling, board meeting preparation, drafting of internal/external communications,
Operations Support: maintaining/keeping inventory of company equipment, acting as an information resource for customers and employees, ordering/picking up company meals, planning team building events,
Perform “as needed” jobs and tasks at the request of the Executive team.
Superior understanding of G Suite (GMail, Google Docs, Sites, Hangouts, Spreadsheets, etc.)
Maintain confidentiality of CEO & Executive team.
Processing/Filing NDAs and other legal documents.
Working with CEO on special projects.
2-5 years of administrative experience including support of C-level executives.
BA/BS degree required.
Ability to work in a high stress/fast paced environment.
Be extremely organized and have a high attention to detail.
Interested in mobile workforce management and technology a plus.
Flexible and prepared to handle last minute planning and execution.
Nice to have:
Experience managing accounts payable, invoices, and expense reporting.
Experience with Hiring/Human Resources: offer letter creation, employee onboarding, recordkeeping, PTO calendar management, payroll and job postings.
Experience with Global Information Systems (eg. ArcGIS)
